Administrative Officer

General Information

Tentative starting date: January 2024

Type of contract:  50% for one year, renewable depending on performance and funding availability

Location: Geneva, Switzerland

Responsibilities and duties

  1. Human resources (10%) :
    1. Ensure that all members of the staff are registered with the relevant local authorities (OCAS, OCPM, LPP, etc.) for the duration of their contract; 
    2. Update changes relating to employees throughout their contract (employee files, annual leave, absences etc.);
    3. Prepare employees'  salary data in Crésus salaires;
    4. Support the line manager in various human resources tasks.

  1. Administration (10%) :
    1. Manage office supplies stock and place orders.
    2. Liaise with service providers: cleaning services, telecommunications and/or any other service provider for the office.
    3. Be responsible for petty cash expenditure;
    4. Update and archive administrative documents. 

  1. Logistics (30%) :
    1. Provide support to the team in arranging  travel documents: checking requests for per diems, visas etc;
    2. Follow up requests for financial advances and/or reimbursement of employee’s travel expenses;
    3. Provide guidance on visa applications, manage travel arrangement and book tickets for participants in UPR Info’s  events, in particular for the Pre-sessions;
    4. Make room reservations, calculate and manage the per diems for the participants in UPR Info’events, in particular for the Pre-sessions.

Qualifications and criteria

  • Vocational Education in human resources and administration (or equivalent)  
  • 3 to 5 years' experience in a similar position or transferable skills
  • Knowledge of Swiss human resources rights and procedures (i.e. social security, work permits, etc.) 
  • Proficiency in Microsoft Office (Word, Power Point, especially Excel)
  • Knowledge of HR systems and payroll software is an asset

Languages

  • Fluent in French and English;

  • Good interpersonal skills and ability to work with and support teams;
  • Sense of responsibility and organisation;
  • Ability to manage several tasks simultaneously and prioritise the daily workload.

Assets                        

  • Previous experience in NGOs is a plus
